1. Booking and Payment

Deposit: For booking, you need to deposit a non-refundable amount of 20% of the entire cost. This payment allows us to book accommodations, and arrange transport and permits in advance.

Payment Methods: We are currently using WeTravel as a payment method where you can pay by wire transfer or credit card.

Balance Payment: The remaining amount could be paid in cash or card swipe after arriving in Kathmandu and before the trip begins. Or you can also make a full payment while booking.

2. Cancellation and Refunds In Case of Full Payment

At Radiant Treks, we know trekking plans can change unexpectedly. Our policy for cancellation and refunds aims to be fair and provide clarity. Do take note of the following.

Trip Cancellation by clients

If you have paid the full amount and you are about to cancel your trip, you will need to inform us immediately in writing. After getting the written letter, we will proceed with a refund. However, charges will apply depending on how close you are to the departure date.

If you cancel 7 days before departure and you have made full payment, 30% of the total trip cost will be charged as a cancellation fee.

But, if you are canceling your trip due to some emergencies, you can postpone your trip to the next date.

Please note: The deposit at the start of the booking will not be refunded to you. Even if unused for the trip, it will not be refunded if you leave voluntarily.

Trip Postpon Policy

If you wish to postpone your booked trek, you have the flexibility to do so. However, you will be required to cover the costs already incurred as well as any difference in the updated trip cost.

Cancellation by Radiant Treks

There can be disruption with natural disasters, flight cancellations, strikes, wars, or unpreventable emergencies, where we sometimes need to cancel a trip. If this happens, we will:

We will give you an alternative trip of a similar standard.

If cases with no alternative, Radiant Treks will refund all the payments you gave (will deduct the card processing fee by WeTravel in our case).

Please note: We do not take responsibility for any other expenditure like non-refundable flights, visas, or travel insurance.

3. Refund Process

After we receive the cancellation note, the refund process will begin within 5 working days.

The pay method will be the same as the original deposit.

Clients are to take care of any bank or transaction fees that occur during the refund process.

4. Travel Insurance

Comprehensive travel insurance coverage is a must-have for all clients. This includes medical emergencies, evacuation, trip cancellations, and personal belongings. Before starting the trip, you must prove you have obtained insurance.

5. Health and Fitness Requirements

You must consider your physical fitness and check if you’re in good health to do the trekking. Consulting with a doctor before booking is a better option. While booking, please inform Radiant Treks about any pre-existing medical conditions.

6. Itinerary Changes

In case of unforeseen circumstances such as weather conditions, natural disasters, and other external factors, we opt for an alternativeto the planned itinerary. Radiant Treks makes changes of such kind for the safety of clients and trip quality.

If your trek days are extended due to such factors, you will need to pay for the food and accommodation for those days.

7. Children

No children under the age of 15 are allowed to trek without the company of a legal guardian.

8. Passport and Visa Requirements

You need to have a passport validation of at least 6 months from the date you enter Nepal. Clients are responsible for obtaining necessary visas.

9. Trip Price Adjustments

Radiant Treks can revise trip prices at any time. It can be due to service costs, currency value fluctuations, increased fuel costs, changes involving flight variations, or other changes amongst operators. You should pay all the additional costs before the beginning of the trip.

10. Paper and Document

You must check up on the necessary documents and provide them when requested. It can even require scanned copies for flights or hotel reservations. The company is not responsible for any losses resulting from trip delays or cancellations prior to departure due to incomplete documentation on your part.

11. Personal Responsibility

All the personal belongings brought by the clients on the trip will be the responsibility of the clients themselves. Radiant Treks will not be liable for loss, theft, or damage to your personal items.

12. Acceptance of Terms

By booking with Radiant Treks, it confirms that you have read and agreed to the terms and conditions.
